Booking Terms and Conditions

Please read these Terms and Conditions carefully as they are legally binding and constitute an integral part of your agreement with White Key.

1. BOOKING

1.1. These Terms and Conditions and the Booking Form (together “Booking Document”) contain the provisions of your booking with Villa Collective. They apply equally to the Party leader and to all the persons named in the Booking Form (“Occupants” or “Guest List”).
1.2. Your receipt of this Booking Document constitutes our conditional offer for the rental of the Property and of any additional services that you have requested. This offer is subject to our receipt of both the Booking Documents, duly completed and signed by you within 48 hours of our email or fax transmission, as well as of the corresponding payments, according to the payment schedule on Page 1. If we do not receive the Booking Documents or payments, within the time specified, our conditional offer will expire and your provisional booking will be cancelled.
1.3. Your booking concerns accommodation in a furnished luxury property with daily cleaning and any catering or other auxiliary services that you have requested, as mentioned in the ‘Included in your Booking’ section on Page 1.

2. THE PARTIES

This Booking Document constitutes your agreement and your respective authorization, if necessary, for:
i) The rental of the Property from Villa Collective or the Property Owner and
ii) The services included in this Booking (as mentioned on Page 1), which will be provided either directly by Villa Collective or by trusted third parties (collectively “Service Providers”).

3. THE PROPERTY

We visit and check each property regularly. The information about each property in our website and our brochures is accurate to the best of our knowledge. We will inform you as soon as possible of any major changes to the property that may make the accommodation substantially different to what you have booked. Please be aware that we use a fictional name for most properties in our portfolio for marketing purposes.

4. PAYMENTS

In order for this booking to be confirmed, we ask that you follow the Payment Schedule on page 1 of this document. If the payments in the Payment Schedule are not received by their respective due dates, or you violate any other provision of the Booking Document, we reserve our right to immediately terminate this agreement, cancel your booking and refuse you access to the Property. In this event, the cancellation policy as per article 6 of this document shall apply.

5. BOOKING CONFIRMATION DETAILS

Once we have received the Initial Payment according to the Payment Schedule, you shall receive a Booking Confirmation & Payment Receipt by email. Please read this confirmation carefully and contact us immediately if the information contained therein is incorrect or incomplete. We shall not be obliged to rectify any errors or omissions that are reported more than 48 hours after the transmission of the confirmation.

6. CHANGES & CANCELLATION BY YOU

6.1. If you wish to make any changes to your confirmed booking dates, you must notify us in writing as soon as possible. We shall make every effort to meet your request, but we cannot guarantee compliance with such requests.
6.2. If you wish to cancel your booking, you must inform us immediately in writing. We have amended our cancellation policy during the Covid-19 pandemic. The following cancellation policy shall apply:
If Cancellation is made
– Before 31 March 2021: All payments made will be refundable, minus a 600€ administrative fee.
– After 1 April 2021: Initial payment will be charged *.
– After the due date of the Balance Payment as mentioned in the Booking Form or on 1 April 2021, whichever comes last: Total Booking Value will be charged *.
– If the booking was made within 8 weeks from the first day of the Rental Period: Total Booking Value will be charged *.
The Security Deposit or Damage Waiver will be refunded in full in either case.
* It is explicitly agreed that if you are prevented from travelling to Greece from the country of residence of the Party Leader due to Covid-19 related government regulations, you will receive a credit equal to the rental paid to be used against a future booking at the same villa, valid for 2 years from the first day of the Rental Period. There will be no cash refunds.
Any non-refundable costs incurred by the Property Owner or by White Key, with your approval and on your behalf in preparation for your stay, will not be refunded, and if they have not been paid for by you, will still be charged to you.

7. CHANGES & CANCELLATION BY US

In the exceptional circumstance where we can no longer provide you with the Property booked (for reasons other than Force Majeure), you will have the choice between one of the following options:
(i) Accept the Property for an alternative Rental Period;
(ii) Accept an alternative property of equivalent or superior rating for the same Rental Period;
(iii) Accept an alternative property of lower rating for the same Rental Period and receive a credit note for the difference in the Overall Cost between the original and the substitute properties; or
(iv) If neither option above is possible or acceptable, we will cancel the booking and refund any amounts paid to us. We shall not be held liable for any losses or damages incurred.

8. CHECK-IN/CHECK-OUT

Please observe the check-in time and check-out times, listed on page 1. We will try to accommodate requests for early check-ins and late check-outs, but can not guarantee them.

9. WORKING HOURS OF STAFF (STAFFED BOOKINGS ONLY)

Professional staff (chefs, butlers, hosts, chauffeurs, etc) will be available to work for a total of up to 10 hours per day, unless otherwise agreed and confirmed in writing. If their services are constantly required for more total hours per day, there will be an additional charge for overtime of 20 euros per hour.

10. USE OF THE PROPERTY

10.1. This Booking and its details are strictly conditional on the Party Size, mentioned on Page 1 and the Occupants mentioned in the Guest List on Page 2 of this document. Any changes to the Party Size or the Guest List must be approved in writing by Villa Collective and may be subject to additional charges or cancellation of the Booking.
10.2. You shall use the Property only for the purpose for which it has been rented to you (personal lodging). It is forbidden to use the premises for any kind of commercial use during the rental (photo shoots, films, seminars, etc) unless agreed and confirmed in writing. Should you make an unauthorised use of the Property in such a way, further indemnification charges may apply, and we reserve the right to ask all guests to vacate the Property immediately, without compensation.
10.3. Entertaining at the property is allowed for parties of up to 50% more than the villa’s maximum occupancy, as indicated on our website. Entertainment parties or functions involving a larger number of invitees require the prior written approval of Villa Collective and/or the Property Owner.
10.4. You shall not sublet the Property under any circumstances whatsoever.
10.5. Photographs taken at the Property cannot be used or sold for profit.

11. GUEST INJURY DISCLAIMER

Villa Collective and its employees, the Owner of the Property, the Property staff and the Service Providers can not be held liable towards you, the Occupants or your guests for any accident or injury that occurs during your stay, under any circumstances.

12. SAFETY

Villa Collective and its employees, the Owner of the Property, the Property staff and the Service Providers can not be held liable towards you, the Occupants or your guests for any loss or misplacement of valuables left in the Property during your stay.

13. CHILDREN

We will endeavour to inform you of the suitability of the Property for children. Please note that the supervision, safety and behaviour of your children is your sole responsibility.

14. PETS

Only some of our Properties accept pets, subject to our prior written approval. An additional Security Deposit may apply.

15. BEHAVIOR

If in our reasonable opinion, or of any other person in authority, you or a member of your group behaves in a manner, which causes or is likely to cause danger, excessive disturbance (i.e. to neighbors), damage to the Property, or acts in breach of these Terms & Conditions, this Agreement may be terminated immediately and you shall be asked to leave the Property. In this event, you shall not receive any refund, and you shall be fully liable for any expenses incurred as a result of your behaviour or the behaviour of the persons in your group.

16. DAMAGES / SECURITY DEPOSIT

16.1. You shall be liable for any damages and/or losses caused to the Property and its contents during your stay. You are required to report any damages or losses to the Property as soon as they occur. We strongly recommend that you obtain an insurance policy which will cover accidental damage to the Property and its contents.
16.2. Your Security Deposit shall be returned to you at the latest within 10 days of the end of the Rental Period. Potential damages or losses as per paragraph 16.1 will be deducted from your Security Deposit. In the exceptional case where the cost of repairing/replacing any damages exceeds the Security Deposit, you accept to cover the additional cost within 7 days of your notification.

17. COMPLAINTS AND PROBLEMS DURING YOUR STAY

17.1. Staying at a villa may have some differences to staying in a hotel. While we will do everything in our power to provide you with a trouble-free stay, villas may present malfunctions, just as every house does. We have set as a goal to rectify any problem that arises within 24 hours, but sometimes this may not be feasible, because of external factors.
17.2. Please note that some of our properties are located on small islands with severe problems of drought. We kindly ask you to use water sparingly, especially during the summer months. Electricity and water shortages may and do occur in some areas and while we will do everything we can to re-establish supply or to remedy the situation, we can not be held responsible for the inconvenience such shortages create.
17.3. If you are dissatisfied with the Property or the services of a supplier, please contact us immediately. It is a precondition for any compensation that you inform us of all complaints as soon as possible and in any event not after the end of your stay.

18. PRIVACY POLICY

Villa Collective will only use your personal information and that of the Occupants for the purposes of fullfilment of this booking. Your personal information may only be transferred to the Property Owner with whom you may enter a lease agreement with and the Greek tax authorities, where such lease agreement must be submitted. Certain information may be provided to our Service Providers in order for them to fulfill their services in the best possible way. You may find our full Privacy Policy by clicking this link. By signing this document, you confirm that you have read and accept our Privacy Policy.

19. FORCE MAJEURE

If the execution of this agreement is no longer possible because of force majeure, then any amounts paid but no longer justified, will be reimbursed within 30 days of the event causing the impossibility.

20. INSURANCES

We strongly recommend that you have travel, medical, third party liability and repatriation insurances prior to your trip. Villa Collective does not offer such insurances and shall not be held liable for their absence.

21. PARTIAL CANCELLATION

A partial cancellation of the provisions of these Booking Documents pursuant to an agreement between the parties or to the decision of a judicial authority shall not affect the validity of the entire Booking Documents.

22. APPLICABLE LAW AND DISPUTE RESOLUTION

All disputes arising out of or in connection with this Booking Documents shall be governed by the Greek Law and shall be settled by arbitration in accordance with the Greek Law Civil Procedure Code. If no settlement can be reached by mediation, the dispute shall be finally settled by the courts of Athens, Greece.

23. Special Covid-19 Clause

Villa Collective and the Villa Owner will be taking all reasonable measures and precautions for the prevention of the spread of Covid-19, as guided by the official institutions (Ministry of Tourism, National Organization of Public Health) and in accordance with best practices in Greece and abroad. Villa Collective, the Villa Owner as well as third parties employed or contracted by them for the servicing of this rental cannot be held liable if the Party Leader, the Occupants, their guests, or any person they come in contact gets infected with the Covid-19 virus.

24. VC x Alexandra Tolstoy x Volga Linen: Promotion Terms & Conditions

24.1. Promotion Overview

  • In collaboration with Alexandra Tolstoy and Volga Linen, Villa Collective offers a luxury pre-travel experience.
  • Clients who book a villa through Villa Collective using Alexandra Tolstoy’s exclusive promo code will receive two personalised, embroidered Volga Linen robes.
  • By participating in this promotion, clients agree to these Terms & Conditions.

24.2. Eligibility

  • This promotion is open to anyone who books a villa through Villa Collective using Alexandra Tolstoy’s promo code.
  • There are no restrictions based on age, residency, or prior bookings.
  • This promotion does not apply to bookings made through third-party platforms; bookings must be made directly on the Villa Collective website.

24.3. Booking & Redemption

  • The promotion applies to villa bookings of a minimum 7-night stay.
  • The promo code has no expiration date unless Villa Collective decides to terminate the promotion.
  • For each qualifying booking, clients will receive two personalised Volga Linen robes (one for each guest).
  • The robes will be embroidered with the guests’ initials as specified during the booking process.

24.4. Delivery of Reward

  • To facilitate the delivery of the robes, Villa Collective will share the following client details with Volga Linen: full name, booking details, travel dates, email address, and home address.
  • Volga Linen will arrange the shipment of the robes directly to the client’s provided home address.
  • Villa Collective and Volga Linen are not responsible for delays or issues related to robe delivery once the shipment has been dispatched.

24.5. Booking Cancellation Policy

  • If a booking is cancelled, standard Villa Collective cancellation policies apply.
  • If a client cancels their booking after receiving the robes, Villa Collective reserves the right to request their return or deduct the retail value of the robes from the paid deposit.

24.6. Data Protection & Marketing Consent

  • By participating in this promotion, clients consent to Volga Linen sharing their data (as outlined in Section 4) to fulfil the reward.
  • Clients’ email addresses will be automatically added to Volga Linen’s newsletter mailing list. Clients may unsubscribe at any time via the opt-out link provided in the newsletter.
  • Data handling and processing will comply with applicable data protection laws, including the General Data Protection Regulation (GDPR).

24.7. Modification & Termination

  • Villa Collective reserves the right to modify or terminate this promotion at any time without prior notice.
  • Bookings made before the promotion’s termination will remain eligible for the reward.

24.8. Liability & Disclaimers

  • Villa Collective and its partners are not responsible for any unforeseen circumstances that may prevent the promotion’s fulfilment, including, but not limited to, shipping delays, acts of nature, or supply shortages.
  • Participation in this promotion does not create any additional legal relationship between the client and Volga Linen beyond the delivery of the robes.
